Watch a DEMO: what a Diagnostic covers, step by step
DEMO — SAMPLE ONLY, NOT CLIENT WORK
This short DEMO walks through the Diagnostic step by step, from this page: order the $99 Diagnostic, send statements and complete the checklist, get a fixed quote in 48 hours, and book within 14 days for the $99 credit. It uses sample wording only and is not a client's books.
First, find out what it costs. Exactly.
The Diagnostic is the whole point. Before you commit to a project, you get the count, the volume, the missing pieces, and one fixed number.
How it works: (1) Order the Diagnostic ($99, paid upfront). (2) Send statements or grant read-only feeds, and complete the document checklist. (3) Get a fixed quote in 48 hours. (4) Book the project — $250 per month cleaned ($750 minimum) — and reconciled books are delivered inside your own QuickBooks Online file, ready for your CPA.
Full projects typically land 10–21 days after the Diagnostic.
Order the $99 Diagnostic by emailWhat the Diagnostic report contains
Months-behind count, account count, transaction volume, missing-statement list, and a fixed project quote. Any complexity uplift is quoted here — not added later.
$99
Credited toward the project if booked within 14 days. 100% upfront. The fee is earned once the quote is delivered.

What a cleanup costs, in plain arithmetic
Count your months behind, multiply by $250. That's the project rate — before any complexity uplift quoted in the Diagnostic.
| Months behind | Project price | Payment |
|---|---|---|
| 3 months | $750 | 50% upfront, 50% on delivery |
| 6 months | $1,500 | |
| 12 months | $3,000 |
What's included: bank, credit-card, merchant-processor, and loan reconciliations for every month in scope; recategorised transactions; chart-of-accounts rebuild where needed; adjusting entries for obvious items only; trial balance tied to your last filed return where available; reconciled books plus P&L and balance-sheet PDFs inside your own QuickBooks Online file.
The Diagnostic, item by item — and what each cleaned month gets
What the Diagnostic contains, explicitly
- Months-behind count
- Account count — bank, credit-card, merchant-processor and loan accounts in scope
- Transaction volume
- Missing-statement list, so you can supply what is missing before the project starts
- A fixed project quote — no hourly meter, no surprise bill
- Any complexity uplift for commingled accounts, missing statements or multi-entity work, quoted in the Diagnostic itself — not added later
Quote delivered within 48 hours of receiving your statements or access. The Diagnostic fee is credited toward the project if you book within 14 days of the report.
What you get for every month cleaned
- Bank reconciliation for that month, tied to its statement
- Credit-card reconciliation for that month, tied to its statement
- Merchant-processor and loan reconciliations for that month, where they are in scope
- Miscoded transactions recategorised for that month
- The quality check for that month: bank tie-out, card tie-out, uncategorised transactions = 0, trial balance reviewed
On delivery of the project you receive the reconciled books plus P&L and balance-sheet PDFs inside your own QuickBooks Online file, with the chart of accounts rebuilt where needed, adjusting entries for obvious items only, and the trial balance tied to your last filed return where available.
Catch-up pricing, in the same arithmetic the calculator on this page uses: project price = the higher of $250 × months and $750. Deposit at booking is 50% of the project price. If you booked within 14 days of the Diagnostic, the $99 Diagnostic is credited toward the project. That is the whole formula — any complexity uplift is quoted in the Diagnostic itself, not added later.
What the deliverable looks like
Every real Diagnostic follows this format; every real delivery carries this note. These are fictional demo figures — not a client's books, and no tax outcome is claimed.
Sample Diagnostic: 6 months behind (Jan–Jun 2026), 1 bank, 1 credit card, 1 processor, about 90 transactions a month, one missing statement (Mar 2026 credit-card statement) listed so it can be supplied before the project starts. Fixed quote: 6 × $250 = $1,500, no complexity uplift in this demo case. Deposit at booking: 50%, $750.
Sample before/after: before — 6 months unreconciled, "Miscellaneous" holding 41% of spend, books $4,200 higher than the bank statement. After — every month tied to its statement, "Miscellaneous" down to 3%, bank tie-out difference $0.00 for all 6 months, uncategorised transactions 0, P&L and balance sheet delivered as PDFs inside the QuickBooks Online file.
Delivery note on every real project: "Months reconciled: [list]. Bank tie-out: $0.00 difference per month. Card tie-out: $0.00 difference per month. Uncategorised: 0. Trial balance: tied to [last filed return / earliest clean month]. Gaps that could not be tied out: [none / listed in writing]. Hand this file to your CPA — BooksCaughtUp does not file taxes."
The quality rule, stated so you can hold us to it
No month counts as "reconciled" without a statement tie-out and a checklist review. A human bookkeeper reconciles and signs off every month.
- Bank tie-out — $0.00 difference per month
- Card tie-out — $0.00 difference per month
- Uncategorised transactions = 0
- Trial balance reviewed

Deadlines, confidentiality, refunds — plainly
Document deadline
7 days to provide the documents in the Diagnostic. Miss it and the project pauses, with the deposit retained for work done. If records cannot be reconciled after 2 document chases, the unearned balance is refunded and the gap is reported in writing.
Confidentiality
Work happens inside your own QuickBooks Online file, with least-privilege access. Local copies are deleted within 30 days of delivery. Your data is never used for another client.
What's NOT included
Tax preparation or filing. Payroll filing. Audit representation. Financial advice. Backdating or misstating records. You keep your own CPA — BooksCaughtUp delivers books to that preparer.
Refund / cancel
Refunds under $50 are automatic; refunds of $50 or more are escalated to the business owner (decision within 3 business days). Project deposits are refunded minus work completed if you cancel before delivery.
Who this is for — and who it isn't
For: established, profitable small businesses 3–12 months behind — trades, agencies, e-commerce sellers, restaurants, professional services. Trigger events: a tax deadline approaching, a loan application, a bookkeeper quitting, or a CPA refusing to file on messy books. Best first fit: single-entity businesses with 1–3 bank/card accounts and QuickBooks Online already in place (even if unused).
Not for: anyone wanting tax filing bundled in; anyone refusing to provide statements or access; anyone asking to backdate or misstate records (declined immediately); multi-entity groups, inventory-heavy businesses, payroll-mess cleanups, and cash-heavy businesses with missing records (all need senior review and are not taken at launch).

Delivery note used on every real delivery (template)
“Months reconciled: [list]. Bank tie-out: $0.00 difference per month. Card tie-out: $0.00 difference per month. Uncategorised: 0. Trial balance: tied to [last filed return / earliest clean month]. Gaps that could not be tied out: [none / listed in writing]. Hand this file to your CPA — BooksCaughtUp does not file taxes.”
After you order — and one question buyers always ask
Is this the monthly fee or the catch-up fee?
It is a catch-up fee. The $250 is charged per month of backlog cleaned — per month behind that is reconciled — with a $750 minimum. It is not an ongoing monthly fee for keeping current. A Monthly Keep-Current retainer exists only as a separate step, agreed separately after a catch-up project completes, and quoted separately at that point.
What happens after I order the Diagnostic?
You receive a confirmation message stating what you ordered, the 48-hour quote clock for the Diagnostic, the 7-day document deadline, and the credit-expiry date (14 days after the quote). Work on a project starts only when the deposit is paid and bank-feed access or statements are in hand. During the project you receive batched exception questions (one message, not drips) and one batched update per active project, and on delivery the reconciled books and PDFs inside your own QuickBooks Online file.
Cleanup price calculator
Page rate: $250 per month cleaned, $750 minimum. Project price = the higher of $250 × months and $750. Deposit at booking is 50% of the project price, as on this page.
Any complexity uplift is quoted in the Diagnostic itself — not added later — so a complex file may differ from this page-rate calculation.
